Civic Receptions and Hospitality

Members' Services are responsible for organising civic receptions and hospitality provided by the Provost. The Council is aware of many special occasions that will be officially commemorated and celebrated, but from time to time local groups, organisations and others contact the Council to suggest an occasion that might be worthy of being honoured through a celebration.

What is a Civic Reception?

The Council receives many requests to provide hospitality for a variety of events. In addition the Council hosts a number of receptions to mark the importance of local events such as the Citizens' Awards.

Given the demand for civic hospitality and the limited budget available, it is not always possible to meet every request, however the following guidelines outline the categories of events which will be considered for a civic event or a contribution towards a civic reception.

Civic events which are open to the public such as Armed Forces Day, Kirkin' of the Council etc are advertised annually in our events diary.

Civic Receptions
  • To recognise, honour or pay tribute to outstanding achievements;
  • To acknowledge the importance of events that will make a major contribution to the local community;
  • To promote new initiatives and prestigious events;
  • To honour visits to Clackmannanshire by appropriate individuals, groups or organisations;
  • To mark significant local events and anniversaries;
  • For civic/ceremonial occasions organised by the Council.
How do you request a Civic Reception?

A request through email or in writing should be include the following:

  • Background information on the individual, group, organisation or company;
  • Information on the achievement, person or event being honoured;
  • Details of the proposed date;
  • Approximate number of people expected to attend;
  • Name, address, telephone number or email address of the person submitting the request.

This information should be sent no later than three months prior to the event to:

Your initial request will be acknowledged within five working days. We will determine if the request complies with Council guidelines. In exceptional cases, where the event will incur high expenditure or will result in special planning, for example for a royal visit, the decision may be referred to full Council for a decision.

Either way you will be kept informed of the progress of your application and you will receive a letter advising you of the outcome of your request.

If appropriate, a Council officer will contact you to agree the necessary arrangements such as the venue, catering, press releases, invitations including representation from the Council.
